Welcome to antwerptattoocon.be (the “Website”). These Terms and Conditions govern your use of the Website, your purchase of tickets, your attendance as a visitor, and your participation as an artist or exhibitor at the International Antwerp Tattoo Convention (the “Event”).
By accessing the Website, purchasing a ticket, booking a booth, or attending the Event, you agree to be bound by these Terms and Conditions.
1. General Information
- Organizer: The Event is organized by Antwerp Merchandising (“we,” “us,” or “our”).

- Event Venue: Waagnatie, Rijnkaai 150, 2000 Antwerpen, Belgium. All attendees and participants are additionally subject to the internal house rules of the Waagnatie venue.
2. Ticket Sales (Visitors)
2.1 Purchasing and Paylogic
- We use Paylogic as our exclusive, independent ticketing provider. Paylogic acts strictly as a commercial intermediary/agent on behalf of the Organizer. The actual purchase agreement for the ticket is formed between you (the Buyer) and the Organizer.
- All ticket prices are listed in Euros (€) and include applicable taxes (VAT). Booking, service, or transaction fees charged by Paylogic will be clearly displayed before checkout.
- An order is only final once full payment has been processed by Paylogic and you have received a confirmation email with your e-ticket(s).
2.2 Delivery and E-Tickets
- Tickets are delivered digitally as e-tickets to the email address provided during checkout.
- Each e-ticket contains a unique barcode or QR code. Duplicated tickets will be rejected at the entrance; only the first scanned ticket will grant entry.
2.3 Refunds, Cancellations, and Right of Withdrawal
- No Right of Withdrawal: In accordance with Belgian consumer law (Article VI.53, 12° of the Code of Economic Law) regarding leisure activities scheduled for a specific date, the standard 14-day right of withdrawal does not apply. All ticket sales are final.
- Event Cancellation/Postponement: If the Event is cancelled entirely, the face value of the ticket will be refunded. If the Event is postponed, tickets remain valid for the new date. Paylogic will not issue any refunds without prior instruction and funding from the Organizer.
- Lineup Changes: The lineup of attending tattoo artists, vendors, and entertainment is subject to change. The cancellation or absence of a specific artist does not entitle you to a ticket refund.
2.4 Resale of Tickets
- Commercial resale of tickets at a markup is strictly prohibited under the Belgian law of 30 July 2013. We reserve the right to invalidate tickets resold through unauthorized secondary platforms.
3. Event Rules and Code of Conduct (Visitors)
3.1 Admission and Security
- We reserve the right to refuse admission or eject any person for behavior likely to cause damage, injury, or nuisance, or for failing to comply with Event or Venue rules.
- Security checks and bag searches may be conducted. Prohibited items (weapons, illegal substances, glass, outside alcohol, unapproved promotional materials) will be confiscated without compensation.
3.2 Age Restrictions & Tattooing
- Children under [Insert Age, e.g., 12] may enter for free but must be accompanied by an adult.
- Tattooing Age: In accordance with Belgian law, you must be at least 18 years old to receive a tattoo, or 16 years old with written, in-person consent from a parent or legal guardian. Artists will require valid ID.
3.3 Tattoo Services & Liability
- Independent Artists: All tattoo artists and piercers operating at the Event are independent contractors, not employees of the Organizer.
- Direct Agreements: Any agreement for a tattoo or piercing is strictly between the visitor and the artist. The Organizer accepts no responsibility or liability for pricing, deposits, quality, outcome, or health consequences of any body art acquired at the Event.
4. Exhibitor and Artist Terms (Booth Bookings)
4.1 Booth Inclusions and Exclusions
- Booth bookings include the specific items detailed in your booking agreement (e.g., chairs, tables, sharps containers, basic water supply, artist/apprentice passes).
- Exhibitors and artists must supply their own specific professional equipment (e.g., tattoo beds, machines, inks, specific lighting) unless explicitly stated otherwise by the Organizer.
4.2 Setup and Teardown
- Booths must be fully set up during the designated times (prior to the public opening at 11:00 AM). Failure to arrive and set up on time may result in the forfeiture of your booth without a refund.
- Teardown may only begin after the official closing time of the Event.
4.3 Merchandise and Sales
- Artists may sell merchandise strictly related to their own brand (e.g., flash prints, apparel) within their assigned tattoo booth. The sale of third-party supplies, machinery, or unrelated goods requires a dedicated Vendor/Trade Booth.
4.4 Payment and Cancellation (Artists)
- Booth fees must be paid in full by the date specified in the invoice.
- In the event of an artist cancellation, deposits are generally non-refundable. [Insert specific refund policy for artists here, e.g., “Cancellations made less than 30 days before the event are not eligible for any refund.”].
5. Health, Safety, and Hygiene Protocols
- Compliance with Belgian Law: All participating tattoo artists and piercers must strictly comply with the Belgian Ministry of Health’s hygiene regulations for tattooing and piercing.
- Workspace & Cross-Contamination: Artists must maintain a sterile workspace. The Organizer will provide specific disposal areas for biohazardous waste and sharps.
- Medical Waste: All needles and medical waste must be disposed of exclusively in the designated, provided sharps containers.
- Inspection: The Organizer and local health authorities reserve the right to inspect booths. Artists found violating hygiene protocols will be immediately removed from the Event without a refund.
6. Tattoo Competition Rules
- Entry: Tattoos entered into the competitions must adhere to the specific rules of the category (e.g., “Best of Day” must be started and completed on-site on that specific day).
- Categories: Size limits and style constraints for categories (Small, Large, Black & Grey, Color, etc.) will be strictly enforced during registration.
- Judging: The decisions made by the judging panel are final, binding, and not subject to appeal.
7. Website Disclaimers and Intellectual Property
- Accuracy: While we strive to keep antwerptattoocon.be updated, we do not guarantee that all information (such as artist attendance) is completely accurate or error-free at all times.
- Intellectual Property: All content, logos, graphics, and text on the Website and Event materials belong to DirtyHippos / InkJunx. They may not be copied, reproduced, or disseminated without our express written permission.
8. Limitation of Liability
- To the maximum extent permitted by law, the Organizer shall not be liable for any direct, indirect, incidental, or consequential damages arising out of attendance at the Event, including loss or damage to personal property, or personal injury (unless caused by our gross negligence or willful misconduct).
- Force Majeure: The Organizer is not liable for delays, changes, or cancellations resulting from circumstances beyond its reasonable control, including natural disasters, pandemics, government restrictions, severe weather, or strikes.
9. Privacy and Data Protection
- We collect and process personal data in accordance with our [Link to Privacy Policy] and the General Data Protection Regulation (GDPR).
- When purchasing a ticket, your data is processed by Paylogic in accordance with their privacy policy to fulfill the transaction. We receive this data to manage event entry and operations.
- Media Release: By attending the Event, you consent to being photographed or filmed. The Organizer and its media partners may use these images and videos for promotional purposes without compensation.
10. Governing Law and Jurisdiction
These Terms and Conditions are governed by and construed in accordance with the laws of Belgium.
Any disputes arising from these Terms, ticket sales, or the Event shall be subject to the exclusive jurisdiction of the courts of the judicial district of Antwerp, Belgium.
